Attendee FAQs - 2024 Summit

We look forward to sharing and learning with you and our 500+ other attendees!

Summit Registration is slated to open on Friday, March 15 at 11am on the Torreyana Terrace. Hotel room check-in is after 4pm.  Luggage storage is available at the bellstand. The hotel will require a $100 credit card hold per night for incidentals upon check-in. A credit or debit card may be used, but please note, if you use a debit card, that money will be held until you check out, at which point it will be released.

Friday breakfast and lunch grab and go options are available for purchase on lobby level and/or lower level.

American Disabilities Act (ADA) compliant. A gender neutral bathroom will be located in the fitness center on the ballroom level. The venue is smoke-free, but smoking is allowed if more than 15 feet from the entrance, per city ordinance. Service animals are allowed on site.

During the Summit, the negotiated self-parking rate at the Hilton is $23 per day, per vehicle, for daytime and overnight attendees. The valet rate is $25 per day.

We recommend that you pay at the valet podium, not at the gate.

Event Volunteers: You will receive a parking voucher when you arrive on site. Please turn in that voucher at the valet podium before you exit the property.

We are using Sched as our conference agenda tool. There will be no printed agenda and session sign ups via the app or website will be required.

You will need to have a Sched profile to

  • Sign up for sessions
  • Create your personal summit agenda
  • Chat with other attendees
  • Share workshop session feedback
     

NOTE: To interact with other attendees and receive updates from event organizer you need to enable the following settings:

Make your Sched profile and schedule public Internet privacy laws require that your Sched information remain private unless YOU mark it public.

Receive email announcement and updates from the organizers

Please take a moment to set up your Sched profile and add your headshot. If you are new to Sched search for an email from  Sched <notifications@sched.com>, with the subject line “You’re Invited To Growing School Gardens Summit.” Then follow the directions to update your profile

We anticipate many of our workshops filling to capacity, so it will be useful to have your profile set up to sign up for sessions.

Things to Bring

We suggest you pack a water bottle and consider bringing your own coffee mug or travel thermos to keep your beverage warm and handy!

If you want to exercise, bring appropriate attire – see the exercise section below.

If you have business cards or program information you might want to pack that too. 


Things to Share

We will have a few tables where you can give away items from your organization, and take items from other organizations. Exchange directions will be posted at each table.

  • Swag Swap – You can bring a new, clean t-shirt, hat, sweatshirt, bumper sticker, or the like from your organization and then get one of those from another organization.
  • Literature Swap – You can bring flyers or brochures from your organization and take those from others. Note: We won’t have space for posters or larger displays.
  • Publishers Table – Have you a published a garden-based education book? If so bring a sample copy to display along with a note or QR code to share purchasing or download information.
  • Share a favorite program photo; quote; or song! – We will be using photos and quotes for slideshows, and songs for playlists. Any photo or quote used will be credited to your organization. You can upload quotes, photos, and song suggestions here.

 

What to Wear

This is not a formal affair. Dress comfortable and casual and check the weather before you come.

3/15 – Rep Your Swag! (Wear a hat, tshirt or other item representing your organization or school)

3/16 –  Food Fashion! (Let’s see those tomato tops, eggplant earrings, and okra pants!)

3/17 – Farm and Garden Day! (Let’s see those overalls, straw hats, and pollinator earrings!) 

3/18 – Rock Your Favorite Garden Color! (Happy Monochrome Day … wear all one color!)

Have you a published a garden-based education book? If so bring a sample copy to display along with a note or QR code to share purchasing or download information. We’ll have a Publishers Table set up alongside other “Share Tables” for attendees to browse throughout the event. 

This space will be shared by various authors so we ask you only place one copy of your book on the table.

Feel free to use this space to set up a temporary spot to sell your book.

Please note there is a $25 hotel package handling fee per box up to a 75 lb. box; $75 (76-200 lbs); $150 (201-300 lbs); $200 (301-500 lbs) and $250 (pallet).  Package(s) can be delivered to the designated meeting space or picked up upon check in if staying at the hotel.

In keeping in line with our Summit Commitments of People, Place, Food we are working to create a welcoming and inclusive environment that considers the needs and comfort of all attendees.

Thank you for submitting your dietary restrictions and accessibility needs in the registration process. 

There is a gender neutral restroom located in the fitness center on the ballroom level.

A mother’s room will be available in Hospitality Suite 1059 located on the Grande Ballroom level.

From Friday night to Monday morning, all meals will be provided. For those arriving earlier there is a hotel restaurant and grab and go items available at the lobby coffee shop and store.

Saturday, Sunday, and Monday from 6:15-7:15am, fellow summit attendees will be leading optional yoga classes, walks, local trail runs, and other fun morning exercise options. We will have a limited number of yoga mats in comparison to the attendance of yoga classes, consider bringing your own if a mat is important for you.

Morning walkers and joggers are invited to meet up with others in the lobby at 6:15 to get out in the fresh air before breakfast.

The hotel has onsite fitness facilities with treadmills, weight machine, free weights, stationary bikes, a pool and hot tub. 

Summit goers also have access to the Scripps Shiley Sports Complex which is next door to the hotel. There is a large gym and heated outdoor lap pool. Sports Complex passes are part of the hotel resort fee which is included in your stay. Hours Mon-Thurs 6am-9pm; Fri 6am-8pm; Sat 8am-1pm. Pick up guest past a hotel front desk.

Pack appropriate attire to enjoy yourself. 

In addition to workshop sessions, demo lessons, field trips and short courses we have designed networking opportunities with the intention of creating meaningful connections.

Lactation Room will be located in Hospitality Suite 1059 located on the Grande Ballroom level.

Is this your first time navigating an in-person conference?  Come join us on the pickleball court/basketball court for RECESS! Saturday 4:15-5:15. Thats right we are having recess at the summit. Whether you’re a mentor or a mentee come play and network with us.

Optional: Continuing Education Credit through the University of the Pacific

You can earn up to 2 graduate continuing education credits for attending the Growing School Gardens Summit.  This is ideal for teachers wanting to move up on their school’s salary schedule or for recertification.  The credits are not usually used for degree-granting programs, but you can check with your program.  Click here for more information and directions.

Cost: $80/unit, and you can earn 2 units for attending the conference.  Total cost for the conference = $160 for 2 units of credit. You do not need to complete any additional work.
